Greybook Registration Guidelines

Guidelines for participating institutions to register in the Greybook.

For an institute to be listed in the GreyBook under DRD7 a “Team” has to be established. This requires the registration of a “Team Leader”. For this, the team leader fill and sign the form available at https://usersoffice.web.cern.ch/sites/default/files/pdf/Formalities/Appointmentform_TL_DTL.pdf, and then forwarded to the spokespersons. One of the two spokespersons will then sign the form, and forward it to the secretariat responsible for the DRD collaborations (currently Veronique Wedlake -> to be decided if we keep her email or a generic one), after which the registration will be processed by the Users Office.

The form allows for the listing of deputy team leaders, which is encouraged but not required.

Once a team is established, team members can be registered - these can either be existing CERN users, or new persons to be registered as users. The procedures differ for these two cases. Detailed information on this is available via the links given above. The secretary dedicated to DRDs can help you directly to process these registrations. But you can also initiate the procedure through the CERN system handling administrative documents (namely EDH, see https://cern.service-now.com/service-portal?id=functional_element&name=EDH). In brief:

  • Existing CERN users can modify their experiment affiliation via EDH via the form "Contract Amendment for Users, COASs and VISCs”. Once completed this form is automatically forwarded to the team leader (and deputies) for electronic signature.

  • For new CERN users, the team leader has to initiate a pre-registration via EDH ("Pre-Registration (PART/USER/COAS/VISC)” in the folder “Other Tasks”), which generates a form that is forwarded to the prospective users. Once this form is filled, it comes back to the Team Leader for electronic signature and confirmation, after which it moves to the Users Office.
